Finding the right venue for your wedding celebration is of prime importance.
While a romantic cafe or scenic hotel may seem to be the ideal venue, there are many other options you can consider. School halls, community halls, private clubs or even outdoor locations can all lend their special ambience to your event. Usually creating your own environment can mean you have lots of flexibility in terms of decoration, catering etc. and can lend a really personal touch to your wedding. Booking you venue is a priority as popular venues tend to become unavailable fairly quickly. Advanced bookings of up to one year are common among the more popular venues. Most places require 50% deposit upon reservation. A refundable security deposit is often also required including an liability insurance policy.
 
  • Check the number of guests that can be accommodated at the venue.
  • Decide on how many people are to be seated on each table. For a smooth running event it is vital that you not squeeze guests onto the tables. This looks messy and becomes extremely problematic when trying to serve guests their food.
  • Find out who is laying out the function room area, is it you, the caterer or the venue?
  • Check the kitchen facilities as you may not require their pots and plates but it pays to see if there is a fridge, microwave or oven all in working condition.
  • See if the tables and chairs are provided as part of the hireage or whether they incur an extra charge. You may even have to provide them yourself.
  • Confirm the smoke detectors are disconnected for the hawan ceremony as some places have extra charges for fire call-out fee.
  • Check the changing room facilities for the bride such as mirror and bathroom facilities. It is also wise to check how far it is to walk to the mandap.
  • Is the hall going to be free the night before the wedding, as most decorators will need to set up well in advance of the wedding.
  • Can you decorate the hall as you like? Check with the venue manager when you make your booking if any restrictions could interfere with your plans.
  • If you planning to have a wedding cake, arrange for extra table.
  • Check for heating during winter.
  • Check parking facilities.
  • Discuss payment details - the deposit, cancellation fee and stages of payment including GST. Is there any insurance cover? Also most important, if there is any additional cost for disconnecting the smoke alarm.
  • Check who will clean up afterwards and who checks the place before you take possession. Often there is a caretaker who will take care of this. Get everything confirmed in writing and signed by both parties.
